Day 1 - From PMO Data to Decision-Ready Insight

  • Morning: Data to Information

Where does reporting begin to lose trust, meaning and usefulness?

    10.30 - Arrival, coffee and registration

    Collect your workbook and event materials, meet fellow delegates and settle in over coffee. The Partner Studio will also be open for early conversations with the event’s Insight Partners.

    11.00 - Welcome to PMO Insight

    We’ll introduce the challenge at the heart of the conference and explain how the two days connect. You’ll also discover how Data, Information, Knowledge, Wisdom and Action form the practical journey running through the programme.

    11.20 - Why PMO Reporting Has to Change

    Producing more reports does not automatically create better knowledge or better decisions. This opening presentation session challenges traditional reporting habits and explores how PMOs can shift their attention from producing information to helping the organisation understand, decide and act.

     

     

    11.50 - Table Exercise: Where Does Reporting Fall Short?

    Working with your table, you’ll identify where reporting begins to lose trust, meaning or usefulness. You’ll also pinpoint an important decision that your current reporting is not properly supporting, creating a real challenge to work with throughout the day.

    12.10 - PMO Practitioner Reality Stories

    Hear three short, honest stories from PMO practitioners who have tackled reporting, data and stakeholder challenges in their own organisations. They’ll share where they started, what they tried, what changed and what they would do differently next time.

    12.40 - Lunch and Insight Partner Conversations

    Continue the morning’s conversations over lunch and meet the Insight Partners. This is a chance to explore practical challenges around reporting, dashboards, tools, data quality and decision support.

    Start with the decision, work backwards through evidence and turn information into something leaders can understand and use.

    13.40 - A Real PMO journey Towards Decision-Ready Insight

    Follow the experience of a PMO that has begun moving beyond traditional reporting towards clearer, more useful insight. This presentation session will explore the messy middle, the practical changes made, the value already being seen and the challenges that remain.

    14.20 - Decision-First Reporting: Using the Decision Canvas

    Instead of starting with the data you already have, this exercise begins with the decision that needs to be made. Using the Decision Canvas, you’ll work backwards through the evidence, missing information, context, uncertainty, options, story and action required to support it.

    15.05 - Coffee and Clinics

    Bring a live reporting, dashboard, data or portfolio challenge to one of the themed Partner Studio conversations. Partners will help you explore where the data-to-action chain may be breaking and what you could investigate next.

    15.35 - Insight Partner Provocations

    Selected Insight Partners share concise observations from their work across different organisations. Each contribution focuses on one recurring problem, one practical lesson and one question PMOs should be asking.

    16.15 - From Knowledge to Wisdom: Building the Decision Story

    Move beyond displaying information and begin adding interpretation, judgement, options and recommended action. You’ll be hearing from the data storyteller to create a concise decision story explaining what is known, what remains uncertain, why it matters and what needs to happen next.

    17.00 - Would This Help a Leader Act?

    Data and decision stories from the tables, together, you’ll consider whether the evidence is clear, the interpretation is credible and the story would genuinely help a senior leader make a decision or take action.

    17.20 - Day One Close

    Capture the most useful lesson from the day and reflect on what it means for your own PMO. The outputs created during Day 1 will be reviewed overnight and used to shape the opening of Day 2.

    19.00 - PMO Flashmob and Pub Quiz

    PMO Flashmobs are a mob of PMO professionals coming together for chats, drinks and nibbles. We like to help facilitate the conversation and we have the Great PMO Quiz lined up for you.

    The completed exercise sheets will be captured and reviewed overnight.

    Day 2 will begin by sharing common reporting problems, unsupported decisions, evidence gaps and emerging patterns from the first day.

      9.00 - Arrival and coffee

      Reconnect with other delegates over coffee and pastries before the second day begins. The Partner Studio will also be open for further conversations with the event’s Insight Partners.

      09.30 - Welcome Back: What Did Day 1 Turn Into Knowledge?

      We’ll begin Day 2 by sharing the themes gathered from the exercises and discussions completed on Day 1.

      The playback will highlight recurring reporting problems, unsupported decisions, evidence gaps and patterns emerging from across the room. It will also show how individual table contributions have been combined into a shared picture of the challenges facing PMOs.

      09.40 - From Reporting Office to Decision-Enabling PMO

      Explore how the PMO can contribute across the full journey from trusted data to organisational action.

      The session will show the progression from a reporting PMO focused mainly on data and information, towards an insight-led PMO that adds context and knowledge, and finally a decision-enabling PMO that contributes challenge, judgement and action.

      It will also explore the capabilities, behaviours and relationships needed at each stage and the important boundary between helping an organisation make better decisions and making those decisions on its behalf.

       

       

      10.15 - What Makes Data Decision-Ready?

      Having information is not the same as having enough confidence to act upon it.

      This short session considers what makes evidence genuinely usable. It introduces the importance of trust, confidence, behaviour, permission and relationships because even sound information can go nowhere if people are unwilling or unable to question it and use it.

      10.25 - Data Confidence Lab: Finding the Gaps Behind the Dashboard

      Look beneath the dashboard and test whether the data supporting it is actually good enough to inform decisions, insight and future AI use.

      Working through a realistic PMO scenario, you’ll examine:

      • where the data comes from
      • how frequently it is updated
      • whether it is useful
      • the impact of getting it wrong
      • how much it is trusted
      • obvious gaps and inconsistencies
      • what should be verified or improved first

      The session will help you recognise high-impact data that currently has low levels of confidence.

      11.35 - Coffee and Clinics

      Take a break and bring a live reporting, data, dashboard or portfolio challenge to one of the Partner Studio clinics.

      These are practical conversations designed to help identify where the data-to-action chain may be breaking and what you should investigate next.

      11.55 - What PMO Tools Can and Cannot Fix

      PPM tools, automation and AI can strengthen data capture, improve information flow and reduce manual effort but they cannot replace organisational context, judgement, ownership or action.

      This chaired panel will explore:

      • where tools genuinely improve the DIKWA chain
      • where tools can introduce false confidence
      • what technology cannot solve on its own
      • what PMOs need to fix before buying or implementing more tools
      • where human interpretation and challenge remain essential

      The conversation will include myth-busting, audience questions and practical takeaways from each panellist.

      12.35 - Choose the Afternoon Roundtable Themes

      Each table will select the two practical themes it most wants the afternoon roundtables to explore.

      The available themes will focus on challenges across Data, Information, Knowledge, Wisdom and Action, alongside areas such as PPM tools, AI, governance and PMO capability.

      12.35 - Lunch and optional partner demonstrations

      Enjoy lunch, visit the Partner Studio and continue conversations from the morning.

      Short partner demonstrations will also be available for delegates who actively want to explore particular tools, dashboards, reporting methods or data solutions in more detail. A timetable of demos is available.

      AI in practice, governance in projects and taking action that sticks.

      13.35 - The AI-enabled PMO: Practical Use Cases, Not Hype

      Hear a real example of AI being used within a PMO to support work across data, information or knowledge.

      The session will explore:

      • the problem the PMO was trying to solve
      • the source data used
      • what AI actually did
      • what worked and what failed
      • the controls and checks applied
      • where human review remained essential
      • what changed for the PMO team
      • what action or result followed

      The focus will be on finding useful signals through the noise, rather than treating AI as the story in itself.

      14.15 - AI Governance in Projects: The PMO's Emerging Role

      As AI-supported outputs begin to influence project and portfolio decisions, PMOs need to understand what should be trusted, verified, challenged and governed.

      This session will explore:

      • evidence and data quality
      • uncertainty in AI-generated outputs
      • human accountability
      • assurance and escalation
      • supplier and tool questions
      • controls before AI influences action
      • situations where the right response is not to act

      The emphasis will remain firmly on projects, programmes, portfolios and the practical role of the PMO.

      14.55 - Scenario Exercise: AI has Entered the Steering Committee Pack

      Your table will work through a realistic scenario in which AI-supported information has appeared in a steering pack and is beginning to influence a decision.

      You’ll decide:

      • what can be trusted
      • what needs verifying
      • what assumptions should be challenged
      • what requires governance or assurance
      • what should be stopped
      • what the organisation can safely act upon

      The exercise turns AI governance from a theoretical idea into a practical PMO responsibility.

      15.05 - Coffee and Partner Conversations

      Take a break and continue the conversations raised by the AI case study and governance sessions.

      The Partner Studio will remain active, providing another opportunity to explore tools, controls, data challenges and practical approaches with partners and fellow delegates.

      15.50 - Roundtables: Building the Decision-Enabling PMO

      Hosted table discussions will explore how PMOs can strengthen different parts of the journey from data to action.

      Delegates will take part in two focused rounds, based on the themes selected earlier in the day. Topics may include:

      • data quality, definitions and ownership
      • reporting, visualisation and reducing noise
      • analysis, context and shared knowledge
      • judgement, challenge and uncertainty
      • decision ownership and follow-through
      • tools and automation
      • responsible AI
      • building capability within PMO teams

      Hosts will help draw out different perspectives, identify recurring barriers and capture practical actions rather than simply reading out opinions.

      16.35 - What Needs to Change?

      The strongest themes from the roundtables will be brought together in a fast, focused playback.

      Rather than lengthy table reports, the session will concentrate on the practical changes needed across data, information, knowledge, wisdom and action.

      It will highlight shared priorities, recurring barriers and areas where PMOs believe action is most urgently needed.

      17.05 - Your Next 90 Days

      Turn the two days of learning into a focused plan for your own PMO.

      Using the Conference Action Planner, you’ll identify:

      • one weakness in your DIKWA chain to strengthen
      • one decision your PMO should support more effectively
      • one practical action to begin
      • who needs to be involved
      • what progress should look like over the next 90 days

      This is the practical close to the conference, making sure the learning does not remain in the room.

      17.30 - Day Two Close

      We'll capture the key themes and outputs from today's discussions.

      You'll leave with a clear 90-day action plan for your PMO and access to a digital pack of resources, canvases and delegate outputs.

      Together, these actions will help turn insight into decisions and decisions into real action.
